CONFIDENTIALITY

We confirm that where you give us confidential information, we shall at all times keep it confidential, except as required by law or as provided for in regulatory, ethical or other professional statements relevant to our engagement, or otherwise as agreed between us.
 

RETENTION OF RECORDS

During our work we will collect information from you and others acting on your behalf and will return any original documents to you following preparation of your accounts/tax documents. You should retain them for 6 years from the 31 January following the end of the accounting/tax year. You should retain them for longer if HM Revenue & Customs enquire into your tax return.
 
Whilst certain documents may legally belong to you, unless you tell us not to, we intend to destroy correspondence and other papers that are more than seven years old, except documents we think may be of continuing significance. You must tell us if you wish us to keep any document for any longer period.

DATA PROTECTION ACT 2018

To enable us to discharge the services agreed under our engagement, and for other related purposes including updating and enhancing client records, analysis for management purposes and statutory returns, crime prevention and legal and regulatory compliance, we may obtain, use, process and disclose personal data about you/your business/company/partnership/its officers and employees. We confirm when processing data on your behalf that we will comply with the relevant provisions of the Data Protection Act 2018.

We need to be able to process data about you in order to carry out our engagement.  Signing these engagement terms expressly consents to this processing of data, by which we mean holding and collecting information about you.

The main use of your personal data will be to communicate with you but also to act within our own professional obligations.  This, we consider, will be on the basis of our ‘legitimate interests’.

Typical data we hold would be your name and contact details, including address, telephone, email contacts, date of birth and marital status.  We do not hold excessive amounts of data and we do not use your data for general marketing or other purposes, not directly connected with carrying out our business.  We do not share your data with third parties without your consent.

You can ask us what data we hold on you and can ask us to amend or delete it.

Data is normally held for 6 years after the completion of our work, in accordance with our professional obligations.
